You’ve carefully planned every detail of your decor, but the last thing you want on your big day is to worry about setting it up — or burden friends and family with the task. That’s where we come in! Our experienced team will handle all the setup and styling, ensuring everything looks perfect and just as you envisioned. While we bring your dream to life, you can relax, get ready, and enjoy every moment with your loved ones.

What's Included

Our team will expertly set up and style all or any of the following items you require (provided by you, your vendors and/or us):

Ceremony Setup:

  • Aisle decor (lanterns, florals, candles, petals, or signage)
  • Welcome signs and seating charts
  • Ceremony arch/arbor decor (florals, fabric draping, lights, etc.)
  • Chair decorations (ribbons, sashes, florals, or bows)
  • Unity ceremony table setup (candles, sand, etc.)
  • Altar/backdrop styling

Reception Setup:

  • Guest table decor (table linens, centerpieces, runners, candles, table numbers, etc.)
  • Head table/sweetheart table styling (florals, linens, candles, signage)
  • Cake table decor (linens, cake stand, cake topper, florals, and signage)
  • Gift and card table styling
  • Photo display setup (family photos, engagement photos, memory tables)
  • Place cards, menu cards, and seating charts
  • Signage setup (welcome signs, bar menus, directional signs, etc.)
  • Dessert table or candy bar styling
  • Guest book and favor display setup
  • Lounge areas (pillows, rugs, decor elements)
  • Lighting accents (fairy lights, lanterns, candles, etc.)

How It Works:

  1. Consultation: We’ll discuss your decor, vision, and timeline to ensure we know exactly what needs to be set up.
  2. Setup & Styling: On the day of the wedding, our team will arrive on-site to carefully and efficiently set up all decor, ensuring every detail matches your vision.
  3. Final Touches: We’ll perfect every detail, leaving you with a beautifully styled venue.
Pricing

Up to 5hrs. of setup and styling of reception and ceremony location(s) for up to 160 guests - $650 + HST

Add-ons:

  • Distribution and setup of furniture (tables, chairs, couches, etc.) not belonging to White Willow - $150
  • Over 160 guests - $10/extra guest
  • Sticking around or coming back to move items/decor from ceremony to reception or do a room flip - $120
  • Teardown and repackaging of all decor and rentals (not belonging to White Willow) for pickup by friends, family, or other vendors at the end of the night – from $200.00
  • Teardown or furniture - restacking/moving of furniture (tables, chairs, etc.)  not belonging to White Willow - $150


*Please note: Our setup package price includes setup and travel within a 30km radius of Alliston or Barrie. Additional travel fees will apply for distances beyond this radius unless delivery/pickup fees are already included when renting items through us. If the ceremony and reception locations are significantly far apart, additional travel charges may also apply.
