Our team will expertly set up and style all or any of the following items you require (provided by you, your vendors and/or us)*:

Ceremony Setup:

• Vendor Point of Contact – We work alongside your vendors to ensure your décor is set up according to your vision and provided setup instructions. Our team serves as the onsite point of contact for décor-related questions and direction throughout setup. This service is limited to décor installation and is not day-of wedding coordination.
• Aisle decor (lanterns, florals, candles, petals, or signage)
• Welcome signs and seating charts
• Ceremony arch/arbor decor (florals, fabric draping, lights, etc.)
• Chair decorations (ribbons, sashes, florals, or bows)
• Unity ceremony table setup (candles, sand, etc.)
• Altar/backdrop styling

Reception Setup:

• Vendor Point of Contact – We work alongside your vendors to ensure your décor is set up according to your vision and provided setup instructions. Our team serves as the onsite point of contact for décor-related questions and direction throughout setup. This service is limited to décor installation and is not day-of wedding coordination.
• Guest table decor (table linens, centerpieces, runners, candles, table numbers, etc.)
• Head table/sweetheart table styling (florals, linens, candles, signage)
• Cake table decor (linens, cake stand, cake topper, florals, and signage)
• Gift and card table styling
• Photo display setup (family photos, engagement photos, memory tables)
• Place cards, menu cards, and seating charts
• Signage setup (welcome signs, bar menus, directional signs, etc.)
• Dessert table or candy bar styling (we do not handle open food)
• Guest book and favor display setup
• Lounge areas (pillows, rugs, decor elements)
• Lighting accents (fairy lights, lanterns, candles, etc.)

* Package includes the placement and setup of prepared décor items with limited assembly. Because event setup time is limited, all items must arrive fully prepared. Our team does not unpack or prep brand-new items (such as removing labels, stickers, protective tape, or original wrapping unless agreed ahead of time), assemble décor, florals or favors from scratch, install batteries, or complete tasks that can reasonably be done in advance.

How It Works:

1. Event Setup Planning Guide: To ensure everything is set up exactly as you envision, we provide a shared planning document where you can outline your décor selections, layout, and any setup instructions. You can complete this at your own pace, and we review and finalize the details about three weeks before your event.
2. Setup & Styling: On the day of the wedding, our team will arrive on-site to carefully and efficiently set up all decor, ensuring every detail matches your vision.
3. Final Touches: We’ll perfect every detail, leaving you with a beautifully styled venue.

Up to 25 manhours of setup and styling of reception and ceremony location(s) for up to 100 guests - $700* + HST

Add-on Options:

• Distribution and setup of furniture (tables, chairs, couches, etc.) not belonging to White Willow + $120
• Over 100 guests + $3/ guest
• Sticking around or coming back to move items/decor from ceremony to reception or doing a room flip + $120
• Teardown and repackaging of all decor and rentals (not belonging to White Willow) for pickup by friends, family, or other vendors at the end of the night/event + from $200.00
• Teardown of furniture - restacking/moving of furniture (tables, chairs, etc.)  not belonging to White Willow + $125

*Please note: Whether you need delivery of our rentals or are purchasing this package solely for setup and teardown services of your items, the price includes delivery and travel within a 25km radius of Barrie City Center. For locations beyond this radius, additional delivery and travel fees will apply. For ceremony and reception venues more than 10km apart, additional travel fees will be incurred.
